Who We Are

Capital Region Math LLC operates four locally owned Mathnasium franchise locations in Clifton Park, Loudonville, Niskayuna, and Westmere, New York. We also operate the website capitalregionmath.com and internal tools that support our franchise operations.

Information We Collect

We collect information in the following ways:

• Contact forms and assessments- name, email address, phone number, child's grade level, and details about their math needs.
• Appointment bookings - scheduling information collected through our third-party booking provider (Apptoto).
• Communications - messages sent via contact forms, email, or SMS.
• Usage data - standard web analytics (page views, referral source, device type) collected through anonymized analytics tools.
• Job applications - contact information, resumes, application and screening responses, interview and review notes, communications, and hiring decisions.

How We Use Your Information

We use collected information to:

• Schedule and confirm free math assessment appointments
• Respond to inquiries about our tutoring services
• Send appointment reminders and follow-up communications
• Improve our website and services
• Evaluate candidates, communicate about employment opportunities, and document hiring decisions
• Comply with applicable laws and regulations

We do not sell, rent, or share your personal information with third parties for their own marketing purposes.

Job Applicants

We use application materials to evaluate qualifications, administer our hiring process, communicate with applicants, and maintain required employment records. Authorized hiring staff may use technology-assisted summaries to organize job-related evidence, but people make all hiring decisions.

Application information may be processed by service providers that support secure document storage and malware scanning (Amazon Web Services), document text extraction (Microsoft Azure), email delivery, and AI-assisted evidence summaries (OpenAI). Hiring AI requests use minimum necessary retention settings, exclude direct contact details from review prompts, and do not make hiring decisions. We limit access to authorized staff and do not sell applicant information.

Candidate records are generally retained for two years after the final hiring disposition. Records may be kept longer when the applicant is hired, when required by law, or while a legal hold, complaint, investigation, or legal proceeding is active. Employment and Form I-9 records are maintained separately under their applicable schedules.

Applicants who need a reasonable accommodation or an alternate application process may contact jeremy.morrison@mathnasium.com. A diagnosis is not required to request assistance.

Facebook and Instagram Integration

We use the Meta (Facebook/Instagram) platform APIs to publish content to our business Pages on behalf of our franchise locations. This integration uses Page access tokens stored securely and is used solely to post marketing content and manage our Pages. We do not collect or store personal data from Facebook or Instagram users through this integration.

Data Retention

We retain contact and inquiry information for as long as necessary to provide services and respond to your requests, or as required by law. Job-applicant records follow the schedule described above. You may request deletion of your data by contacting us at info@capitalregionmath.com. A request may be deferred when recordkeeping requirements or a legal hold apply.

Cookies

Our website uses cookies for basic analytics and functionality. We do not use cookies for advertising or cross-site tracking. You can disable cookies in your browser settings, though some site features may not function as expected.

Children's Privacy

Our services are directed to parents and guardians. We do not knowingly collect personal information directly from children under 13. Information about students is collected from their parents or guardians only.
