Center documents live everywhere except where your team can find them
Training materials, scripts, templates, and policy documents end up in email threads, personal Google Drives, or on one person's computer. New staff can't find them. Existing staff can't find the latest version. Things get recreated that already exist.
Onboarding a new staff member takes longer than it should
When documents aren't centralized, getting a new hire up to speed means emailing files, sharing folder access, and hoping nothing is missed. A shared library that the whole team can access changes what onboarding looks like.

🧭How It Works
Step 1
Directors upload files to organized folders
Drag and drop or file picker. Files up to 50MB. PDFs, Word documents, spreadsheets, images — the formats your team actually uses.
Step 2
Folder structure is set up by the director
Create nested folders that match how your center thinks about its materials: by role, by process, by season. The structure is flexible and editable at any time.
Step 3
Staff browse or search
Staff can navigate the folder tree or type in the search box to find a file by name or description. Results update as they type.
Step 4
Files preview in-browser or download
PDFs and images open in a preview overlay without downloading. Other file types download directly. Download count is tracked automatically.
Step 5
Access is enforced by role
Directors manage the library. Staff access is read-only. The distinction is enforced at the API level — not just the UI.
Does not include: Version control, collaborative editing within the portal, or integration with external document platforms like Google Drive or SharePoint.
